Our Complaints Procedure

We are committed to providing a high-quality legal service to all our clients. If you are unhappy with our service, please tell us about it. This will help us to improve our standards. We will deal with your complaint quickly and fairly with appropriate redress where necessary.

Please note we can only investigate a complaint which relates to services we provide to you or offered or refused to supply to you.

There are some circumstances where we can accept complaints from persons other than an individual client.

What will happen next?

We will send you a letter acknowledging your complaint and asking you to confirm or explain the details of your concerns about our service. We will also let you know the name of the person who will be dealing with your complaint.

We will record your complaint in our central register and open a file for your complaint.

We will provide an estimate as to when we are likely to be able to send you our final response which will be as quickly as possible but not later than 8 weeks from the date of your complaint.

We may need to ask for further information especially in a complicated case, for example, where you ask us to look into several issues or your case has been active for a long period of time.

We will then investigate your complaint. This may involve one or more of the following steps:

  • We may ask the member of staff who acted for you (or that person’s supervisor) to reply to your complaint;
  • We may invite you to the office meet the supervisor to discuss and try to resolve your complaint.
  • We may need to ask you for more information

If you do not want a meeting or it is not possible or appropriate, we will send you a detailed written reply to your complaint which will contain an explanation of how we propose to resolve your complaint.

There are no legal charges for dealing with a complaint about our service.

What will happen if you are not satisfied with our response?

If we are unable to resolve your complaint, then you can have the complaint independently looked at by the Legal Ombudsman. The Legal Ombudsman investigates complaints about service issues with lawyers.

The Legal Ombudsman expects complaints to be made to them within six years of the date of the act or omission about which you are concerned or within three years of you realising there was a concern. You must also refer your concerns to the Legal Ombudsman within six months of our final response to you.

From the 1 April 2023 the Legal Ombudsman expects complaints to be made to them within a year of the date of the act or omission about which you are concerned or within a year of you realising there was a concern. The requirement to refer your concerns to the Legal Ombudsman within six months of our final response to you remains the same.

Your personal information will be retained for as necessary to provide relevant legal services and for a period appropriate to the category of data it relates to. For example, where in the interests of good file management we may  outsource work to do typing or photocopying on our files to ensure that this is done promptly. Litigation opponents, barristers, experts, interpreters, process servers and other service providers who assist us in our work.

If you have legal aid then we may be required to share some or all of your information with the Legal Aid Agency.

Christopher Bryan is the partner with responsibility for data protection who you should contact if you wish to exercise your rights. We will no longer process your information following a request unless we are permitted to do so by law. We may charge a fee where the law allows us to do so.

We hold your personal information in electronic and physical files. Our staff employment contracts include confidentiality obligations and they must use login & passwords to authorise access to electronic files.

When you send money to us please make sure you use our correct bank details. We will not change our bank and if we do we will not notify you of  this by email or telephone. If you are asked to send money to an alternative account than you have been notified by us in writing please advise us immediately.
